The software made for dance schools
From salsa and bachata to ballet and contemporary: schedule recurring classes, fill them with public sign-up, take attendance from your phone and get paid, without spreadsheets or a tangle of separate apps.

Management software built for the rhythm of a dance school
A dance school does not run like a generic gym or a one-off booking site. Your week repeats: the same courses, the same rooms, the same teachers, term after term. Students arrive in couples, drop in for a single class, buy a pack of ten and disappear for a month, then come back for the new season. Most schools try to hold all of this together with a wall planner, a couple of spreadsheets and a busy WhatsApp group, and it works right up until it does not.
- Recurring weekly schedule, generated automatically
- Class packs and memberships that debit themselves
- Role-aware public sign-up with waitlists
- Fees, teacher payouts and invoices in one place
ClassWolf is dance-school management software that replaces that patchwork with one calm system. You set up your recurring courses once and every session for the term appears on a weekly calendar automatically. You sell class packs and memberships at the front desk, take attendance from a phone at the studio door, open public sign-up pages for the courses you want to fill, and issue compliant invoices when you need them. Everything lives in the same place, scoped to your school, so reception, teachers and the owner are finally looking at the same picture.
It is built for European schools from day one, with multi-language staff and student communication, EU electronic invoicing, and GDPR-friendly consent capture. And it starts free: the Cub plan is genuinely free forever for a small studio, so you can set everything up and run real classes before you ever think about paying.
Built around how a dance school actually runs
Leaders and followers, kept in balance
Partner dance only works when the room is balanced. ClassWolf tracks capacity per role, so a salsa or bachata class can fill its follower seats while leader seats stay open, and the public sign-up page enforces the same limits. When a class is full, students join a role-aware waitlist and are promoted automatically the moment a matching seat frees up.
Class packs and memberships that look after themselves
Sell a ten-class pack, a monthly pass or an unlimited membership at reception in a few taps. From then on the balance looks after itself: when you mark a student present, the right credit is debited automatically, expiry dates are tracked, and you can see at a glance who has classes left and who is about to run out.
Levels, courses and seasonal progressions
Organise courses by discipline and level, from absolute beginner to advanced, and run several levels of the same style in parallel. At the end of a term you can promote a whole group to the next level in one move, closing the old course, cloning the schedule and carrying the enrolled students across without re-typing a single name.
One source of truth for reception and teachers
Teachers see their own classes and rosters; reception sees the whole week; the owner sees the numbers. Per-user permissions mean you can invite the front desk and your instructors without handing over the keys to billing or settings, and every change is recorded so nothing quietly goes missing.
Everything your studio needs, in one place
The day-to-day tools a busy dance school opens every evening, designed to work together rather than as six disconnected apps.
Recurring schedule on autopilot
Set the weekdays, room, time and teachers for a course once. Every session for the term is generated automatically on a colour-coded weekly calendar and stays in sync if you change the source course. Cancel a single session and the enrolled students are notified in one click.
Mobile roll-call at the door
Open a session on a phone or tablet and tap each row to cycle present, absent, late or excused. Add a walk-in by searching, or create a brand-new student in three fields without leaving the screen. Everything autosaves, and class-pack credits are debited as you go.
Branded public enrollment
Mark a course as public and you get a shareable sign-up link for your school. Students enrol, pick their role for partner dances, receive a branded confirmation email, and roll onto the waitlist if the class is full, all without you touching a spreadsheet.
Fee collection and overdue tracking
See who has paid, who is on a pack and who owes money, by month and by course. The collection view turns the awkward "have you paid yet?" conversation into a glance, so you chase fewer people and chase them at the right time.
Teacher payouts by the rules you set
Pay instructors a fixed amount or a percentage of the fees actually collected for their classes. ClassWolf does the maths per teacher and per month and produces a clean payout report you can hand over or export, instead of rebuilding it by hand every payday.
Insights, birthdays and history
A day-by-hour attendance heatmap shows which slots and teachers are really working. Birthdays of the week are surfaced for a quick personal touch, and a full audit trail keeps the history of your school so nothing important is ever lost.

Made for European dance schools
ClassWolf speaks your students’ language. The staff app and every automated email are available in English, Spanish, Italian, French and German, and the school’s locale drives which one your members receive, so a beginner who signed up in Spanish is never confused by an English reminder.
- Staff app and emails in 5 languages
- EU e-invoicing: Verifactu (Spain), SDI (Italy)
- GDPR consent capture and EU-based hosting
On the compliance side, EU electronic invoicing is built in, with Verifactu for Spain and SDI for Italy and more countries arriving as we onboard schools there. Marketing and photo consents are captured at sign-up the GDPR-friendly way, data is stored on EU-based infrastructure, and nothing is ever hard-deleted: deactivating a student preserves the full history so you keep your records without keeping clutter.
Dance school FAQ
Does it handle partner dances with leaders and followers?
Yes, and this is one of the reasons schools choose ClassWolf. Capacity, the waitlist and the public sign-up page are all role-aware, so the leader/follower balance is maintained automatically. When a follower seat opens in a full class, the next follower on the waitlist is promoted and emailed, not just whoever signed up first.
Can students buy class packs and memberships?
Yes. Sell ten-class packs, time-based passes or unlimited memberships at the front desk. When you take attendance, ClassWolf debits the right credit automatically and tracks expiry, so the balance is always correct without anyone doing manual sums. You can see remaining classes for every student at a glance.
Can I move my current students and schedule across?
Yes. Students, teachers and contacts can be imported from a spreadsheet in a couple of clicks, and you rebuild your weekly schedule once as recurring courses, after which sessions generate themselves every term. Most schools are running real attendance the same afternoon they sign up.
How do teacher payments work?
You decide the rule per teacher: a fixed fee or a percentage of the fees actually collected for the classes they taught. ClassWolf calculates each teacher’s payout per month and produces a report you can review, export or hand to your accountant, instead of reconstructing it from memory and receipts.
Do you take a cut of my payments?
No. ClassWolf never takes a percentage of your revenue. When online payments arrive you will connect your own provider and pay only that provider’s standard processing fee, directly to them. The platform fee is the plan price, and nothing on top.
Is the free plan really free?
Yes. The Cub plan is free forever for a small studio: up to three courses, three disciplines, three teachers and thirty students, with public enrollment and branded emails included. It is enough to get a small school fully online; when you outgrow it, Starter unlocks everything with no limits.
